ADMINISTRATION OFFICER/HR JG CPSB 08 (1 POST) REF/MCPSB/333/2022 CONTRACT

Terms: Contract

REPORTING TO: Business Official

LOCATION: Migori County

Job Summary

The Administrative Officer will be responsible for the overall management of the office including office meeting management, liaising with other health department to ensure efficient and smooth processes,
ensure cleanliness of the office, workstations and
common areas, safe custody of program m records.

Additionally, He/she will maintain a quarterly updated register of all fixed assets and consumables at the project office.

Roles and responsibilities

i. Handling correspondences
ii. Attending to visitors

iii. Responsible for office cleanliness and organization

iv. Handling office calls and appointments as well as monitor office diary

v. Support travel itinerary for staff

vi. Ensure security of office equipment through establishment and maintenance of inventory, security of records including program classified information

vii. Organizing and servicing meetings including recording and safe custody of minutes of meetings

viii. Ensure proper filing system of program records

ix. Implementing new procedures and administrative systems; managing office protocol and etiquette

x. Liaising with relevant organizations and clients

xi. Develop and update human resources policies and procedures in line with MoH policies,

xii. Develops and implements the staff training and development plans

xiii. Review and update position descriptions for relevancy and consistency across Migori County in line with MOH policies through liaising with county human resources section

xiv. Manages employee relations, welfare, and benefits in accordance with the human resource policy manual

xv. Supervise and provide oversight to the drive and vehicle use as well proper documentation of vehicle related documents

xvi. Undertaking other office administrative duties as may be assigned by program manager of business official

Qualification

i. Degree in Business Administration, Business management, commerce, office management
ii.
Majors in human resources or post graduate diploma in human resource will have an added advantage
iii.
At least 3 years of working as an office manage or human resources officer
iv. Strong computer skills in accounting software, Microsoft office application including Word, Excel, Power Point

v. Good interpersonal and organizational skills with ability to efficiently take up multiple tasks under pressure and tight deadlines.

vi. Must be a self-motivated, diligent, and reliable person who can work with minimal supervision.

vii.
Good communication skills, written and verbal, in English and Kiswahili languages
viii.
Must be registered with the Institute of Human Resource Management of Kenya (K) [IHRM-K] with good professional standing or any other approved registration and professional body for Human Resource Professionals in Kenya
